CANCELLATION POLICY:
When a cancellation is made Charges
- Prior to 46 days from the date of departure: Booking advance
- Between 45 - 31 days from the date of departure: 75% of the package cost*
- Between 30 or below from the date of departure: 100% of the package cost*
• GST & TCS are applicable over and above the cancellation charges as per the policy
• The above is a general cancellation policy on the package cost* (excluding VISA / airfare / travel Insurance) and the same is subject to change depending on the travel date, the destination, the package and the services booked and
paid for.
• Airfare cancellation charges as per the applicable policy of the respective airlines
• VISA fee will be non-refundable once applied irrespective of the reason of cancellation / visa rejection
REFUND POLICY:
Refund will be processed in 15 - 45 working days upon receipt of the written cancelation request from the traveller.
- By making the advance payment for the holiday package, the traveler acknowledges and agrees to all the terms and conditions, including payment and cancellation policies, as outlined by Build Your Vacations in this quotation / document.
- Costs might vary if there is any change in the number of people travelling.
- Airfare quoted (if any) is subject to availability and respective airlines’ policy is applicable
- All sightseeing tours and hotels are subject to availability
- All distances and timings are approximate, the actual distance / time taken might vary depending upon the local circumstances.
- Services of Tour Manager are not included in the package unless specified in the itinweary.
- Build Your Vacations is not responsible for any change in the price due to factors not in the control of the organization
- For Non-refundable & time-limit itineraries 100% payment is required to confirm a booking
- All payments towards the tour cost must be made by the client to the company in accordance with the procedure and time frame mentioned herein below
- For Air tickets being issued / blocked on time limit: Full INR component will be collected before issuance, else price will be subject to change
- Initial Booking deposit will be 60% of the Package Price + Full airfare and VISA fees
- Full payment must be made 30 working days prior to the departure date. In case of non-compliance thereto by the client, the company reserves a right to cancel the tour/booking of the client with subsequent loss of deposit and apply and recover the cancellation charges as mentioned herein
- To obtain hotel confirmation letters / visa letter for visa application purposes, minimum 60% of the total package price needs to be paid
- Please note that hotels may require a refundable deposit at the time of check-in. It will be the traveler’s responsibility to ensure the deposit is collected at the time of checkout. Build Your Vacations will not be liable if the traveler forgets to collect the deposit, and the hotel subsequently denies refunding it.
- Build Your Vacations will facilitate processing the necessary visa by charging a service fee. However, it doesn’t guarantee approval of the VISA to any nation as the decision solely depends on the consulate / embassy of the respective country.
- In the event of VISA rejection, the cancellation charges will be charged as per the above-mentioned cancelation policy
- Any changes made by the hotel come from their direct purview and we will not be liable for any compensation due to this change
- Requests for double rooms will be subject to availability and in cases when a double is not available, we will provide you with a twin room. General check-in time is usually 1500 hours and check out time is usually 1100 hours; early check-in and late check-out are subject to availability unless pre-paid and booked in advance
- The Company shall, in no circumstances whatsoever be liable to the client or any person traveling with for Loss of Baggage by the Airline, Failure to provide meal of the clients choice by the Airline, Overbooking of seats by the Airline, Failure on the part of Airline to accommodate client despite having confirmed tickets, Meals offered by the airline/Quality of meal, Flight delay, if the client misses the flight, Changes of flight schedule/ routing/airline mentioned at the time of booking. In this condition the expression ‘howsoever cause’ includes willful negligence on the part of any person. If the client is booked on a particular Airline on a particular date and due to certain reasons beyond the control of the Company, the client is not allowed to board the flight, the client shall not hold the Company responsible for the same and no claim whatsoever can be made by the client against the Company. Airport taxes / Airport Development Fee as applicable to be paid above the Tour Cost should there be a rise in post issuance of tickets. All the booking / cancellation / change of the
airline ticket and the travel on such airline ticket will be subject to the terms and conditions of respective Airlines and the same may be provided to the client by the company upon request, if available
- The organization is not responsible for any schedule change or cancellation of flights as it is out of our firm’s control. A new booking might need to be made, in case of flight schedule changes / cancellation, (if needs to be made) and the payment for the same will be collected additionally.
- The company is not responsible for any loss or damage to personal belongings during the stay in the hotel or while traveling on the coach. Due to theft or loss of baggage, tour participants can lodge a complaint with the local authorities on his/her sole discretion, cost, risk and consequences
- In case if a client along with his family is compelled to discontinue the tour due to any reason whatsoever including illness, death or loss of passport or any travel documents, no claim shall be entertained for refund of unutilized services
- The company shall in no circumstances whatsoever be liable to the client for
a. Any overstay expenses due to delays or changes in bus/ air/ trains / ship/ or cancellation of special bogie or other services due to sickness, weather conditions, strike, war or any other cause whatsoever
b. Sightseeing missed & / or program being cancelled after the commencement of the tour & before the due period due to any unavoidable situations which are beyond our control
c. Any Loss/Damage of baggage by the Airlines/Hotels/Coach/Cruise
- Initial deposit just ensures only registration/participation on the tour but does not entitle any services like Tickets, Visas, and Hotel Accommodation until full payment has been received
- The client/Traveler must be of Indian Nationality and must have an Indian passport, and his/her passport must be valid for at least 6 months after the scheduled date of return of the holiday (9 months in case of Malaysia and any other destination as informed from time to time by the Immigration Authorities)
